How Print Best Improved Communication, Safety Training, and Productivity with GuavaHR | Success Story

In a modern printing house, precision and reliability aren’t just for machines, they’re essential for people too. At Print Best, a major book printing house in the Baltic region, rapid growth and a 24/7 multi-shift schedule created new challenges in keeping employees informed, engaged, and connected. With more than 150 people from multiple nationalities working across four shifts, important messages often got lost, misunderstood, or delayed.

We recently spoke with Triin Nuudi, Compliance and Sustainability Manager at Print Best, and Liina Heinaste, HR Manager. They shared how GuavaHR has become an essential part of daily life at Print Best, strengthening internal communication, boosting employee engagement, and shaping workplace culture. What once relied on one-way updates has now evolved into a truly connected, multilingual workplace.

About Print Best

Print Best is one of the biggest book manufacturers in the Baltics, producing books for both large and small publishing houses all over Europe. With a growing team of 150 employees from four to five different nationalities, Print Best combines industrial excellence with a commitment to sustainability and a modern workplace culture.

The Challenge: Rapid Growth and a Complex Work Environment

In recent years, Print Best has grown rapidly and moved to a 4-shift work schedule. This created new challenges:

  • Ensuring smooth internal communication across shifts.
  • Overcoming language barriers between employees.
  • Providing training and learning opportunities without needing everyone in the same room.

As Triin, Compliance and Sustainability Manager at Print Best, recalls:

“Having 150 people from four to five different nationalities in a shared information space was a big challenge. Information wasn’t reaching employees and sometimes it ‘took on a life of its own’ halfway through. It became like the telephone game.”

Employees had no easy way to react, ask questions, or provide feedback. One-way communication created frustration, and existing channels couldn’t target messages to specific teams or languages.

Discovering GuavaHR

The story of how Print Best discovered GuavaHR is quite a coincidence. At an industrial symbiosis event, the company found mentorship with a company already a GuavaHR user and they strongly recommended the solution.

“They had nothing but praise for GuavaHR, and we realized this was exactly what we needed to solve our internal communication challenges. The decision was made very quickly, and we’ve never regretted it.” – Triin

Implementation and onboarding

Adopting GuavaHR at Print Best was not only about installing new software but also about shifting mindsets. The platform was customized (and continues to be adapted) to fit the company’s needs, with the GuavaHR team offering quick responses and hands-on support throughout the process.

Employees’ reactions ranged widely. Some praised the tool immediately, while others needed more time. As Triin explains:

“The reasons were very human: fear of something new and unfamiliar, worries about not handling the technical side, or simply reluctance to download ‘yet another app.’ Since this is our communication and e-learning tool, joining Guava is mandatory for employees, and we’ve made the process as smooth as possible. Prejudices comes with every major change, and that didn’t surprise us.”

By now:

  • 97% of employees have joined
  • Weekly engagement around 90-95%

The GuavaHR team also supported Print Best with customization, quick responses, and even built special step challenge tracker to encourage engagement.

Because GuavaHR is the tool for quality and work safety communication, all employees were required to join. To ease the transition, HR provided 1:1 support for those who needed help downloading the app or logging in. Over time, engagement grew, especially when GuavaHR was linked to more casual and interactive activities.

One standout initiative was a company-wide step challenge in May. The GuavaHR team even developed a special function to track the collective step goal. Since employees logged steps directly in GuavaHR, along with photos and comments, the challenge created a more playful, social use of the platform.

While employees started following updates quickly, it took longer for them to gain the confidence to post themselves. Responsible managers also had to adapt, and sometimes still need reminders: “But Guava?! That could be easily solved there!”

Today, the most active users remain Triin and Liina, who led the initiative and continue to model positive engagement.

Saving time and improving efficiency
Quick-report forms for breakdowns, sick leave, or improvement proposals are increasingly popular, reducing paperwork and speeding up response times.

The Role of GuavaHR Today and Future Collaboration

Project-specific work information still lives in Print Best’s intranet (ERP system), but GuavaHR has become the backbone of company-wide communication. It allows Print Best to share more frequently and inclusively than ever before, not just rules and updates, but also recognition and cultural values.

“Guava plays a key role in communicating everything around project-specific work information.“ adds Triin.

Print Best plans to expand use of GuavaHR’s e-learning platform for onboarding and continuous training, ensuring employees remain engaged, informed, and safe in a fast-paced environment.

Conclusion

The collaboration between Print Best and GuavaHR shows how the right digital tool can transform internal communication, employee engagement, and company culture, even in a complex, multilingual industrial workplace.

“As Liina put it, it feels like a tailored suit,” the team concludes. “For us, Guava is a perfect fit, and we absolutely recommend it.”
